Checking report dates and inclusion rules
Check period boundaries, accounting basis, filters, adjustments and comparison columns before relying on a financial report total.
Before relying on a report total, check its dates and the rules that decide which records appear. Two reports labelled June can differ: one may cover the month and another year to date, or they may use different filters or adjustment settings. Compare settings and trace transactions near the period boundary before calling the gap an accounting error.
Check what each date means
Record the entity, report type, start date and end date. A balance sheet presents a position at a date; a profit and loss covers activity over a period. Read comparison-column labels carefully: the comparison might be the previous month, the same month last year or another selected range.
Inspect transactions around each boundary. An invoice dated on the last day, a payment received the next day, a bill entered later with an earlier transaction date, and a subsequent adjustment can appear differently depending on the report basis and rules. Check the source record and the report definition before deciding whether an item belongs in the total.
Record the inclusion choices

Available controls differ by report and product. MYOB Business, for example, documents period, account-level, accounting-method and year-end adjustment options on relevant reports. It also distinguishes business-wide settings from individual user preferences.
For some reports, date filters are unavailable, so inspect the final run rather than assuming a remembered default applies.
Cash vs Accrual Accounting Basis: Impact on Report Totals

Trace a disputed total
Open a detailed ledger or transaction view for the disputed account and period. Identify which items appear in one view and not the other, then check dates, basis, account mapping and filters. If a later entry changes a previously shared total, keep the earlier copy and label the new run as a revision. Record the active settings if a saved report has been changed.
A brief report note should state the entity, exact dates, basis, filters, adjustment treatment, comparison definition and preparation date. That gives the next reader a way to reproduce the scope and investigate any remaining difference.
