Exporting a report with its filters and assumptions

Package a financial report with its dates, basis, filters, adjustment settings and review status so recipients can interpret the export.

Send an exported financial report with enough context for the recipient to interpret its figures. Record the entity, report name, dates, accounting basis, filters, adjustment choices and preparation time. A PDF or spreadsheet may retain visible rows and columns without explaining every setting used to produce them.

Prepare the release copy

Confirm the report's review status and check its on-screen totals before export. Record the settings actually applied, including both date ranges when the report compares periods. Name the preparer, reviewer and whether the copy is draft, reviewed or approved.

For an available filter deliberately left unrestricted, record that it covers all values. A blank field can be mistaken for a missed check.

Choose and inspect the file

A PDF provides a fixed layout for reading. A spreadsheet is easier to analyse and edit. If both are distributed, identify the approved copy and check that their totals and settings agree. Retain the source report or the information needed to reproduce it in the accounting system.

MYOB says a browser export reflects visible report customisation, including filters and column changes; its desktop instructions are separate. Before sending, compare the file with the on-screen report and include a settings note for assumptions not shown in the export.

Open the file and verify its title, dates, account labels, totals, page breaks and comparison columns. If a spreadsheet has been edited after export, identify the changes and distinguish it from the source report. Share sensitive detail through the business's access process.

Keep the version traceable

Store the approved export with its settings note and supporting reconciliation. Give each revision a stable label. If a late journal or changed filter alters the total, issue a new copy and explain the change while retaining the earlier approved version. Keep the underlying transaction records available through the business's existing record process; the exported summary alone does not explain every figure.
